    Outlook 2003 is a powerful messaging client, which has many features like other email programs. Outlook 2003 can store large number of emails, contacts, calendar entries etc in separate folders like Email folder, Contact folder, Calendar Folder etc. You can search for related information across different folders using virtual folders that are also called as Search Folders, which shows you emails from different folders in one place based on criteria that you have set. Outlook 2003 contains new preview pane on the right hand side of the screen, colored flags, and also has an ability to hide unused folders. Flags can be set using alerts and rules. When important emails arrive in your mailbox, they are automatically flagged and you can view those emails in preview pane. Outlook 2003 also allows you to categorize items using different categories like business and personal.

    Outlook stores emails, contacts, calendars, notes and all other entities of Outlook 2003 in a single file called PST (Personal Storage Table) file that can store up to 20GB of data. Outlook 2003 supports Windows XP and higher versions of Windows Operating systems. Different versions of Windows Operating system have different PST file locations i.e,

    • Windows XP: PST file is located at “C:\Documents and Settings\User Profile\Local Settings\Application Data\Microsoft\Outlook\Archive.pst” folder.
    • Windows Vista & Windows 7: PST file is located at “C:\Users\Specific User\AppData\Local\Microsoft\Outlook” folder.

    Generally, when you delete emails from Inbox, Outbox or any other folder except Deleted Items folder, they are moved to Deleted Items folder. If you want those emails back then you can easily restore emails from Deleted Items folder. It works like Recycle Bin i.e. it stores your deleted emails until you empty the Deleted Items folder manually. When you empty or delete all emails from Deleted Items folder then they are permanently deleted from Outlook resulting in loss of emails. In order to restore those emails one has to make use of this tool to recover lost Outlook emails.

    Some of the scenarios in which emails get deleted or lost are as follows,

    • Accidental deletion of emails: Emails may get deleted, when you accidentally empty Deleted Items folder. When you select "Empty Deleted Items folder" option, it prompts a confirmation message like "Are you sure you want to permanently delete all the items and subfolders in the Deleted Items folder?" If you accidentally click on “Yes” button then all the emails from "Deleted Items" folder gets deleted resulting in loss of emails. Email recovery on Outlook 2003 is the only solution to get back emails in such a scenario.
    • Due to oversized PST files: Outlook 2003 has PST file size limit of 20GB. When this PST file exceeds or reaches 20GB size limit then PST file may get corrupted. Once PST file get corrupted then Outlook does not allow you to open any emails stored in corrupted PST file resulting in loss of emails.
    • Sharing PST file over network: PST files are not designed to be used over network. Sharing single PST file over network by many users at the same time may corrupt the PST file. This is because while sharing other user may accidentally delete or modify your PST file data, which may result in loss of important emails.
    • Improperly terminating Outlook: If you close Outlook abruptly while accessing PST file then it may get corrupted resulting in loss of emails. Nevertheless, you can recover emails from corrupt PST file by using My Email Recovery tool.

    It is possible to retrieve Outlook contacts, emails and other deleted items from Outlook PST file; since generally, when you accidentally delete emails, they are not permanently deleted instead allocation information of emails gets deleted making those emails inaccessible. It can repair only headers of corrupted PST file. If the PST file is severely damaged then it may fail to repair the corrupted PST file and may show error messages. Therefore, instant backup is needed in order to prevent loss of emails. It is a good practice to frequently delete unwanted emails from Outlook to avoid PST file corruption. Emails deleted from Inbox folder will be transferred to Deleted Items Folder, so that it can be easily retrieved whenever you need it.     Step 1: Download and install free demo version of Email Recovery software then launch it. Once you launch the software, the main window appears with 3 options like "Open PST file", "Find PST file" and "Select Outlook Profile" as shown in Figure 1.

    Step 2: If you know the location of the PST file use the "Open PST file" option to select the PST file. Once you select the option a new window is displayed as shown in Figure 2. After selecting the PST file click "Next" button.

    Step 3: From the next window, select "Normal Scan" option if your PST file has minor corruption or else select "Smart Scan" if your PST file is severely corrupted as shown in Figure 2 then click "Repair" button to start scanning

    Step 4: Once scanning is completed, you can view retrieved emails and other attributes of Outlook as show in Figure 3
